Start with the work the team needs to improve

Choose a recurring inquiry that is difficult to explain today. For a hotel, that might be a meeting with guestrooms and several functions. For a restaurant, it might be a private dinner with presentation and privacy needs. For an event venue, it might be a ceremony, reception and room transition.

Write the problem in operational terms: finding approved materials, selecting the right spaces, explaining the program or following up with context. Identify the existing commercial system that remains authoritative. Map the technology responsibilities before comparing brands.

Give vendors the same demonstration brief

  1. Provide the same event requirements, approved property media, floorplans and documents.
  2. Ask a salesperson to build a response while you watch, including the room recommendation and next action.
  3. Review the buyer experience on a phone and with another decision-maker.
  4. Inspect the staff view afterward and ask which recorded activity is available.
  5. Change one document or space fact and review the maintenance process.

Confirm what will be delivered

Label a finding as demonstrated, vendor-reported or future work. Ask what must be configured, purchased or implemented before your team can use it. A prepared screenshot cannot establish that an integration exchanges the data you need.

For a required live connection, trace the actual source record, the receiving record and the failure-handling process. For a shareable buyer link, confirm who can open it and how expiration or revocation works. Procurement should assess the exact offered scope.

Compare the complete cost of the workflow

  • Capture, editing, floorplans and future property changes.
  • Property-data preparation, document review and staff onboarding.
  • Licenses, users, properties, required editions and additional services.
  • Ongoing maintenance, staff preparation and support responsibilities.
  • Media rights, exports, link behavior and exit requirements.

Request proposals against the same scope. A smaller subscription can still require more staff assembly work; a broader platform can include capabilities your pilot does not need. Record the tradeoff the team actually faces.

Use a focused pilot to check the fit

Define eligible inquiries, a baseline, the evaluation window and the people who own the work. Use the pilot scorecard for adoption, preparation and buyer clarity. Use the maintenance checklist for the content feeding the response.
