Name the responsibility before the vendor
A hotel can have good systems and still make selling harder than it needs to be. If the salesperson is hunting for documents, checking facts and assembling the answer across several tools, the buyer often receives that same confusion as a pile of attachments.
Map the work first. Identify where the opportunity is recorded, who confirms availability, where approved property content lives and how the buyer receives the recommendation. A new tool should have a specific responsibility and a clear owner.
The main layers
| Layer | Primary responsibility | Example of information it owns |
|---|---|---|
| CRM | Account, contact and relationship management | Contacts, activities and opportunity history |
| Sales and catering | Group and event commercial/operating workflow | Room blocks, function details, status and event handoff |
| Sourcing and RFP distribution | Bring buyer requirements to suppliers | Dates, attendance, agenda and submission requirements |
| Proposal process | Present the commercial response | Offer, rates, concessions and next steps |
| Event diagramming | Develop proposed room layouts | Tables, staging, production positions and setup plans |
| Approved asset library | Govern property media and documents | Photos, floorplans, menus and versioned collateral |
| Sales enablement | Help the buyer understand the recommended property | Relevant spaces, visual journeys and buyer-specific materials |
| Analytics and reporting | Review behavior and outcomes | Engagement records, pipeline stages and documented results |
Keep the source of truth explicit
Availability and commercial terms should come from the hotel’s approved sales process. The digital property should carry approved visual and space information. A proposed layout needs confirmation by the people responsible for operating it.
Write down field ownership before planning an integration. Who can change dates, rates, room counts, space names, configurations and published documents? Decide which changes need review. Avoid a vague promise of two-way synchronization when the authority is still unclear.
Where FOH Visual fits today
FOH Visual supplies the property presentation and buyer-evaluation layer. FOH Admin manages spaces, content, facts and presentation settings. Hotel Sales creates reusable Playlists and opportunity-specific Deal Rooms. Buyers explore the selected spaces, review collateral and use planning interactions in sales-shared experiences.
Public Property and Space guides support readable, controlled discovery with search/share metadata and structured data. Deal Rooms provide a separate unlisted buyer experience. Inquiries, Deal Room activity and Reporting help the sales team prepare follow-up and leadership review evidence.
The hotel can use FOH alongside its current CRM or sales-and-catering system without a vendor connector. The salesperson selects the content and shares the experience through the existing workflow.
What integration preparation means
Each property has its own FOH Admin integration-preparation workspace for connection plans and mappings. This is a foundation for future vendor adapters, not an active connection.
A future connection could bring approved opportunity requirements into FOH and return agreed Deal Room, inquiry, engagement or outcome information. The actual scope depends on the property, vendor product, permissions and implemented adapter.
The current foundation does not perform live vendor requests, automatic vendor imports/exports or booking transactions. Native rates, availability, reservations, payments and BEO synchronization remain deferred until a separately implemented interface supports them.
Compare roles before comparing brands
| Responsibility | Examples to evaluate | Question for your team |
|---|---|---|
| Sourcing and layout collaboration | Cvent Supplier Network and Event Diagramming | How does the buyer find the venue and review the actual layout? |
| Hotel sales and catering operations | Amadeus Delphi | Where are accounts, event details and commercial records maintained? |
| Venue and F&B event workflow | Tripleseat | Where do inquiry, proposal, BEO and payment processes live? |
| Buyer-facing property explanation | FOH Visual | Can a buyer understand the selected spaces, supporting facts and next step? |
These responsibilities can overlap. The official product descriptions establish category examples; they do not verify a live connection to FOH. Start from the current workflow and test the exact handoff you require.
A buying checklist
- Identify the workflow that is slow or unclear and name its owner.
- Identify the existing system that remains authoritative.
- Demonstrate a complete buyer response using a realistic hotel program.
- Check which steps are manual today and which are actually automated.
- Include capture, setup, training, content maintenance and staff time in total cost.
- Agree on a focused pilot and measure adoption, response preparation and buyer usefulness.
Buy the improvement to the workflow. A feature list becomes useful only when the team can complete a real sales conversation with it.
Trace one handoff before buying another tool
Take one qualified inquiry and trace the room names, proposed setups, dates, documents and contact from the commercial record to the buyer response. Mark where someone re-enters information and where someone verifies it. That is your integration requirement in practical terms.
Use the software evaluation guide to test the handoff with a vendor. Use the maintenance checklist to assign ownership of the information that feeds it.
Common questions
Does a hotel need to replace its CRM to use FOH?
No. FOH supports property presentation and buyer evaluation alongside the hotel’s existing commercial process.
Does integration-ready mean connected?
No. A connection plan and valid mapping are preparation. A supported vendor adapter, authorization and an enabled scope are needed for a live connection.
Where does a virtual tour belong?
It is visual source content that can support public marketing, site inspection and buyer-specific sales experiences.
