The buyer’s review is rarely one event

A planner may open the offer, check the floorplan, share the property internally and return days later. A finance contact may focus on the commercial terms while another stakeholder reviews the guestrooms or event flow.

Give the group a coherent property experience that supports that review. Identify the recommended spaces, make the relevant documents easy to find and leave a named contact and next step.

Use the activity to prepare a question

The record can help you see which parts of the recommendation deserve attention. It does not explain every motive, identify every stakeholder or establish a probability of closing. Forwarded links, idle sessions and shared devices can complicate the picture.

Use a natural conversation. “Would another setup help your review?” is more helpful than making the prospect feel that every click has become a sales tactic.

Keep the recommendation current

If the program changes, revise the selected spaces and documents and make the revision clear. Use link controls deliberately when an opportunity ends or access should change.

FOH supports editing, revocation and expiration of buyer links. The commercial proposal, space holds and contract process remain the hotel’s responsibility. An updated visual presentation does not amend commercial terms.

Close the record with a real outcome

Record the opportunity’s stage and final outcome in the hotel’s commercial system. For a pilot, reconcile that record with whether and how the FOH experience was used.

You can report that the platform was used on specified opportunities or that closed-won business interacted with it. Be clear about the measurement window and method. Do not treat every opportunity that opened a link as a sale caused by the platform.

What a useful follow-up process looks like

  1. Review new inquiries and material activity.
  2. Read the program and current commercial context.
  3. Prepare an answer, alternate view or revised recommendation.
  4. Contact the buyer through the agreed sales process.
  5. Record the response and next action in the opportunity record.

The value is a salesperson who arrives better prepared for the conversation. Activity should support that judgment.

Three follow-up questions to adapt

  • “Which part of the proposed program is hardest to explain to your decision-makers?”
  • “Would another view, setup or floorplan help you evaluate the room?”
  • “What answer do you need from us before your next internal review?”

Choose a question that fits the agreed sales conversation. Use engagement activity to prepare and the pilot scorecard to record what the answer improved.

Should we contact a planner every time the link opens?

Use judgment and the agreed follow-up cadence. Activity may warrant preparation without an immediate message.

Does no activity mean the proposal failed?

No. Delivery, forwarding, other review methods and buyer timing can all affect recorded activity. Ask what would help the evaluation.

Can we connect the activity to an outcome today?

Use a deliberate staff process to reconcile the opportunity and engagement records. Do not assume automated CRM export is active in the current FOH release.
