What Would Make a DOF Personally Defend a Renewal?

A DOF can defend a renewal when they can explain the investment without borrowing the vendor’s adjectives.

What did the hotel pay? What work improved? Who used the system? What evidence supports the benefit? What continuing effort does it require?

I want the DOF to be able to walk into the renewal conversation and explain the value without borrowing one adjective from my sales pitch. If the case falls apart when somebody asks where the number came from, we haven’t earned that renewal.

Build the evidence through the period

Record implementation, subscription, training, maintenance and support costs. Keep an agreed baseline for the workflow being changed.

Collect representative observations, including problems. A review that preserves only the smoothest proposals is marketing material, not a management record.

Tell one coherent story

An illustrative account could be: the team adopted the workflow for a defined set of inquiries; content assembly required fewer active minutes; buyer review became clearer; maintenance remained manageable; revenue causation was not established.

That can be a defensible reason to renew if the improvement and cost fit the hotel’s priorities. It can also be insufficient if adoption was low or the benefit too small.

Check whether value survives without the champion

Who keeps content current? Can another seller use the workflow? Does the buyer path still work after a contact changes? Is support responsive enough for the operation?

If the system depends on one enthusiastic person doing invisible extra work, include that dependency in the decision. The answer might be better training, revised scope or a different operating process.

Not every useful tool has clean financial attribution. A proportionate renewal can rest on credible operating value. The claim should match the strength of the evidence.

Put the next commitment beside the result

Explain what the hotel proposes to renew, what changes, which issues remain and who owns them. Don’t silently upgrade a successful small pilot into a much broader implementation.

A DOF shouldn’t have to become the vendor’s salesperson. They should be able to say: we reviewed the work, we understand the cost, and this is why the investment still belongs here.

That sentence is less glamorous than a guaranteed ROI claim. I would trust it considerably more.
